Customize Your Email
There are two features for customizing your email:
Custom Email Branding is a native Sigma feature that allows you to apply your company's brand to all data export emails sent from your Sigma organization.
Custom SMTP Server is a more technically complex feature that allows you to send Sigma emails from your own externally-managed SMTP server.

Requirements
- You must be an organization Admin to use these features (see User account types).
Customize Your Organization's Email Branding
By default, all emails include Sigma branding. However, applying any subset of custom branding options below will automatically remove all Sigma branding. In conjunction with this, you can also Customize Welcome and Invite Emails.
- Open your Admin Portal.
- At the top of the Account page, click Brand Settings.
- Find the Custom Email Branding subsection.
- Click the section's Edit.
- [optional] Click Upload Logo and follow the prompts to add an image.
Note: Ideally, the image should be at least 135px wide, and the width:height dimensions should be between 3:1 to 1:2. - [optional] Add values to any combination of available fields.
Note:- All fields are optional and can be used in any combination.

Applying any subset of custom branding options automatically removes all Sigma branding.
- [optional] Send a preview.
- Click Send Preview Email, located in the section's top right corner.
- Go to your email to see the preview.
The subject line will be: [Preview] Custom Branding Test Email.
- Click Send Preview Email, located in the section's top right corner.
- Click Save.
Test Your Email Branding
- Open your Admin Portal.
- At the top of the Account page, click Brand Settings.
- Find the Custom Email Brandingsubsection.
- Click Send Preview Email.
Note: This button will only be available if custom branding is already in use.
- Go to your email to see the preview.
The subject line will be: [Preview] Custom Branding Test Email.
Custom SMTP Server
Custom SMTP Server allows you to send Sigma emails from your own SMTP server. The contents of these emails are still Sigma-generated, but they will be sent from an email address from within your domain. You also have greater customization control of their branding, including the sender & reply-to address and sender name. The branding options provide the capacity for you to create a consistent user experience that enhances your organization's image.
Custom SMTP also offers other benefits:
- Email Deliverability: The ability to configure your email server settings, which are optimized for your org's email infrastructure, can improve email deliverability.
- Security Improvement: You control the security of all email data and communications
- Security Improvement: Consistent branding combined with a trusted sender increases security as end users can more easily identify phishing vs. authentic emails.
- Flexibility: Increases your flexibility & control over your email infrastructure. You can easily modify your email settings and troubleshoot issues as needed.
Sigma can't monitor email deliverability if you set your own SMTP server.
Configure a Custom SMTP Server
Follow the steps below to set your own SMTP server.
You will need to add Sigma's egress up IP addresses to your SMTP server and/or firewall allowlist. To view those IP addresses, follow the instructions at: Adding Sigma IPs to the allowlist
- In the Admin Portal, click on the Administration tab.
- Click on the Branding tab.
- Scroll down to Set your own SMTP server and click Edit.
- In the Host field, enter the hostname or IP address of your SMTP server. [Required]
- Enter the port in the Port field. This defaults to 587. [Required]
- Enter your SMTP username in the Username field. [Required]
- In the Password field, enter the password for your SMTP server. [Required]
- The Sender Email is displayed as the Sender in the recipient's inbox. [Required]
- The Sender Name is displayed in the From in the recipient's inbox. [Optional]
- In the Reply-to Email address field, enter the target email for replies. [Optional]
If you enter a value in this field, it will change the Reply-to Email address in the Edit your email branding field.
- Click Send email preview to test your custom SMTP server configuration.
