Manage embed user settings (Beta)

To manage what users of your secure embeds can do, configure embed user settings in the Administration portal. You can allow embed users to interact with other users in your organization, and to export embedded workbook content to Slack, Microsoft Teams, or SharePoint.

These settings apply only to users of JWT-signed secure embeds. Users of public embeds cannot interact with other users or export to Slack, Microsoft Teams, or SharePoint, even when you turn the settings on.

Requirements

• You must be assigned the Admin account type to manage embed user settings.

Allow embed users to interact with other users

By default, embed users cannot see or interact with other users in your organization. When you allow user interactivity, embed users can do the following:

• Comment on workbooks, including @-mentioning other users. See Use comments in workbooks.
• Share documents and folders with other users and teams.
• Create and manage shared views. All embed users can use shared views. See Create and share saved views.
• View scheduled exports created by other users if they have edit access to the document.
• View public teams that they don’t belong to.

To allow embed users to interact with other users:

1. In the Administration portal, select Embeds.
2. Select the Settings tab.
3. Under User interactivity, turn on the Allow embed users to interact with other users toggle.

Manage what embed users can do

Turning on user interactivity does not grant embed users any additional permissions. Account type permissions, organization settings, team assignments, and the access granted to each user still determine what an embed user can do:

• Account types. An embed user can only use a feature if the account type assigned to them includes the relevant permission. For example, an embed user can only comment on a workbook if their account type has the Can comment on workbooks permission enabled.
• Organization settings. Features that are turned off for your organization remain unavailable to embed users. For example, if commenting is disabled for your organization, embed users cannot comment. See Enable or disable comments.
• Teams. Embed users can interact with members of the teams they belong to. They can view public teams, but private teams they don’t belong to remain hidden. To control which users an embed user can see, manage team membership and team visibility. See Manage teams.
• Document and data access. Embed users can only share documents and folders that they can access, and can only grant the level of access they have. See Manage access to a secure embed.

Allow export for embed users

By default, embed users cannot export embedded workbook content to Slack, Microsoft Teams, or SharePoint. You can allow embed users to export to these destinations using the same integration configured for internal users in your organization.

To allow embed users to export to Slack, Microsoft Teams, or SharePoint:

1. In the Administration portal, select Embeds.

2. Select the Settings tab.

3. Under Export settings, turn on the toggle for the destination you want to allow:

   • Allow Slack export for embed users
   • Allow Microsoft Teams and SharePoint export for embed users

After you enable the destination, embed users with the relevant permissions see the Slack, Microsoft Teams, or SharePoint export option.

Embed user requirements for export

Before an embed user can successfully export to Slack:

• The Slack integration must be configured for the organization.
• The embed user must be assigned an account type with the Export to Slack permission enabled.

Before an embed user can successfully export to Microsoft Teams or SharePoint:

• The Microsoft integration must be configured for the organization.
• The embed user must be assigned an account type with the Export to Microsoft Teams and SharePoint permission enabled.

Export limitations

One Sigma organization can only connect to one Slack workspace or one Microsoft organization. As a result, when you allow export for embed users, all embed users export to the same Slack workspace or Microsoft organization.

If you want embed users to export to different Slack workspaces or Microsoft organizations, consider setting up Sigma Tenants to separate users into distinct tenant organizations, each with their own configurations. For more details, see Sigma Tenants.
