Change a filter or control value
When viewing a workbook, you can change the values and selections in the filters and controls that affect a data element, turn filters off, and change a filter’s type.
A filter limits the data displayed in a single data element, such as a table, pivot table, or chart. A control element lets you choose a value that filters data, or that changes the display of information in a document, such as by changing which slice of data is displayed on a chart, adding a value to a calculated column, or updating the text or title in an element, if the control is used as a parameter in a formula.
If you only have Can view access to the document, you can only modify filters and controls that a user with Can edit access has added to the document. See Filter data in data elements and Intro to control elements.
Change the selection in a filter or control
If a data element has a filter, or is targeted by a control, you can change the selected values directly from the element.
-
In the element toolbar, click
Filters.
If no filter or control applies to the element, the Filters option is only displayed if you have Can explore or Can edit to the document.
-
In the Filters panel, change the selection for the filter or control. For example, select a different date range.
The data element updates. If you updated the value of a control, Sigma also updates every data element that the control targets.
Turn off a filter
To turn off a filter and view unfiltered data for the data element:
- In the element toolbar, click
Filters.
- In the Filters panel, locate the filter you want to turn off, then turn off the toggle. To apply the filter again, turn on the toggle.
Change a filter type or control options
You can make changes to the filters and controls that exist in a workbook. When you make changes in the published workbook, Sigma opens a custom view. These changes affect only your view.
If you have Can edit access to the document and make changes to filters and controls while editing the document, the changes update the draft and affect everyone who can access the draft.
In addition to changing the values of filters and controls targeting a data element, you can make other changes:
-
In the element toolbar, click
Filters.
-
In the Filters panel, click
More, then select an option:
- To change the type of filter, select Change filter type, then choose a type. See Top N filter for an example.
- To choose when null values are included in the results, select Include nulls, then choose When no value is selected, Always, or Never.
- To go to the control element that targets the data element, select Go to page control.
- To copy the selected values of a list control, select Copy control values.
- To remove the data element from the control element targets, select Detach from control.
After you finish making changes in a custom view, you can save your changes as a saved view to return to later. To save changes to the workbook itself, you must have Can edit access to the workbook.
