Send or Schedule Worksheets and Dashboards

In Sigma you can easily schedule your reports to be sent to email, a public Slack channel, Google Sheets or Google Drive.

Scheduling an Export to Google Sheets or Google Drive

Sheets vs Drive

Although both Sheets and Drive exports both deliver your report to your Google account, there is a key difference:

  • If you would like to create a new Sheet every time your report is exported, you can do this by scheduling an export to Google Drive.
  • If you would like your scheduled export to rewrite over the same Sheet each time the schedule runs, you should export to Google Sheets.

 

Google Authorization

The first time you export to Google Sheets or Google Drive, you will be prompted to authorize Sigma to export to your Google account. 

Sending Report Notifications to Slack

If the Slack integration has been enabled for your organization, you can send a scheduled or one-time Slack notification for your report. This integration must be enabled by an organization admin. Learn how.

Send or Schedule a Worksheet

Export Worksheet data without a Schedule

  1. Open the ••• icon button in the worksheet header.
  2. Hover your cursor over Data Export.
  3. Select an export option from the submenu.

Send a Full Worksheet OR Visualization without a Schedule

  1. Click the ••• icon button in the worksheet header to open the worksheet menu.
  2. Select Send now... to open the Send Now modal.
  3. Your Destination will be set to ‘Email’. If you would like to send a Slack notification instead, visit our Slack Integration documentation to learn how.

  4. Under the To field, enter the email addresses of one or more recipients of your report, separating multiple addresses with commas.
  5. [optional] Enter a Subject line.
  6. [optional] Add an email body by clicking + Add Email Body under the subject line.
  7. The Attachment field defaults to ‘Entire Worksheet’. However, you can choose to select a single chart from the dropdown list instead.
  8. Select whether you would like your report formatted as a CSV, Excel doc, PDF or Image.
  9. Select whether you would like to include the worksheet link in the email.
  10. Select whether you would like to Run queries as recipient. This means the results they see will be determined by their data access permissions.
  11. Click Send.

 

Schedule a Worksheet Email Report

  1. Open the worksheet you would like to export.
  2. If it is in Edit mode, click the publish button in the top right corner of the screen.
  3. Click the ••• icon button in the Worksheet header to open the worksheet menu.
  4. Select Schedule... to open the Scheduled Exports modal.

  5. If this is the dashboard's first schedule, click Add Schedule.
    If schedules already exist, you will see them listed. Click + New Schedule.

  6. The ‘New schedule’ screen will appear.
    Your Destination will already be set to ‘Email’.

  15. [optional] Under Send you may choose to specify delivery conditions. For each scheduled delivery, the export/notification will only be sent if this condition is met. Learn more about conditional scheduling.

  16. Click Create Schedule.

 

Send or Schedule a Dashboard

Email a Dashboard without a Schedule

  1.  Click the ••• icon button in the dashboard header.
  2. Click Send now... to open the Send modal.

  5. [optional] Enter a Subject line.
  6. [optional] Add an email body by clicking + Add Email Body under the subject line.
  7. Select whether you would like your report formatted as a PDF or Image.
  8. If you are exporting a PDF, select a Layout: portrait or landscape.
  9. Select whether you would like to include the dashboard link in the email.
  10. Select whether you would like to Run queries as recipient. This means the results they see will be determined by their data access permissions.
  11. Click Send.

 

Schedule a Dashboard Email Report

  1. Open the dashboard you would like to export.
  2. Click the ••• icon button in the Dashboard header.

  3. Click Schedule in the menu to open the Scheduled Exports modal.
  4. If this is the dashboard's first schedule, click Add Schedule.
    If schedules already exist, you will see them listed. Click + New Schedule.

  5. The ‘New schedule’ screen will appear.

  14. [optional] The Controls section allows you to customize control values for the scheduled export. To specify a custom control value, click + Select Control and select your input value.
    Note: Exported dashboards will default to the published dashboard's control value(s) unless otherwise specified in this section.

  15. [optional] Under Send you may choose to specify delivery conditions. For each scheduled delivery, the export/notification will only be sent if this condition is met. Learn more about conditional scheduling.

  16. Click Create Schedule.

 

Add Page Breaks to a Dashboard Export

You can customize the look of your exported PDFs by adding page breaks after any section in your dashboard.

  1. If your dashboard is not already in edit mode, click the Edit button in the top right of the screen.
  2. Hover over the layout section you would like to add a page break under. The section will be outlined with a blue border, and a 'Section' menu will appear in the top left corner of the section.

  3. Click on the gear icon in the 'Section' menu to to open the settings dropdown.
  4. Hover over Printing, and select Page Break After Section.
    Note: A check will show beside 'Page Break After Section' if a page break is already present. Existing page breaks can be removed by clicking the same menu item.

  5. Repeat steps (3) and (4) for any other sections you would like to break after.
    These page breaks will be automatically be applied to your next export.
  6. To see how your new page breaks look on your export, send one time export use Send Now to test an existing schedule.

 

Show All Table Rows

By default, table charts in exported dashboard PDFs only display the number of rows that appear on the dashboard.

If you would like to display more rows in your export, there is an option to show up to 1,000 rows per table. When you select this option, the table’s headers will appear on every PDF page containing the table data.

This is a per-section feature, meaning you have the option to select which sections of your dashboard it is applied to. Please also note that the Table Chart must be the only element in the section.

  1. If your dashboard is not already in edit mode, click the white `Edit` button in the top right of the screen.
  2. Add the table chart to its own dashboard section.
  3. Hover over the layout section you would like to add a page break under. The section will be outlined with a blue border, and a 'Section' menu will appear in the top left corner of the section.
  4. Click on the gear icon in the 'Section' menu to open the settings dropdown.Screen_Shot_2020-07-30_at_5.28.46_PM.png
  5. Hover over Printing, and select Show All Table Rows.
    Note: A check will show beside 'Show All Table Rows' if the option is already selected.
  6. To see how the table looks on your export, send a one time export or use Send Now to test an existing schedule.

 

Send Now - How to Send your Scheduled Export at any Time

  1. Click the  ••• icon button in the worksheet or dashboard header.
  2. In the menu under Data Export,  select 'Schedule...' in the menu to open the Scheduled Exports modal.
  3. Click the ••• to the right of the schedule you would like to edit.
  4. Click Send Now to immediately export the worksheet to your folder.

Edit/Delete your Schedule

  1. Click the ••• on the top right of the worksheet or dashboard.
  2. Click Schedule exports... in the menu to open the Scheduled Exports modal.
  3. Click the ••• to the right of the schedule you would like to modify.
  4. Click  Delete to delete the schedule or Edit to make changes to the schedule.


 

Set up a Custom Delivery Schedule

If Sigma's default delivery options do not work for your needs, you can set up a custom cron for delivery time. To enter in the custom cron, specify the minute, hour, day (month), month and day (week). You can use this tool to help you write the correct cron expression.

To send a report at 1:05 AM on the first Monday of the quarter, you'd enter:

5 1 * 1/3 Mon

To send a report at 1:30 AM on the first of every month, you'd enter:

30 1 1 * *
